DEPUTY CLERK (position)

The Richland County Circuit Clerk’s Office is seeking a detail-oriented, dependable individual to join our team as a full-time Deputy Clerk. This position is responsible for processing legal documents, maintaining accurate court records, handling financial transactions, and providing excellent customer service to legal professionals and the public.

  • Location: Olney, Illinois
  • Position Type: Full-Time
  • Schedule: Monday–Friday, 8:00 a.m.–4:00 p.m.
  • Starting Wage: $18.93 per hour

Key Responsibilities

  • Record Management: Review, process, file, and index legal documents involving civil, criminal, domestic relations, traffic, and other court cases in accordance with state law, court rules, and established procedures.
  • Customer Service: Assist members of the public, attorneys, and law enforcement personnel at the front counter, by email, and over the telephone. Answer procedural questions and assist with locating court records.
  • Financial Duties: Collect and process payments for fines, court costs, and filing fees; issue receipts; and balance a daily cash drawer.
  • Data Entry: Accurately enter and maintain case information using court case-management and statewide judicial software systems.
  • Confidentiality: Protect confidential, sealed, and impounded court information in accordance with applicable laws and court rules.
  • General Office Duties: Prepare correspondence, notices, reports, and other court documents and perform additional duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • One to two years of experience in a clerical, legal, administrative, or customer-service position.
  • Previous experience in a law office or court system is preferred.
  • Proficiency with Microsoft Word and Excel.
  • Ability to quickly learn court case-management software.
  • Strong attention to detail and organizational skills.
  • Ability to communicate professionally and courteously with the public.
  • Ability to handle sensitive information and maintain confidentiality.
  • Ability to accurately process financial transactions and balance a cash drawer.
