Welcome to the Richland County Recorder
The recorder is responsible for recording, archiving, and retrieving a variety of documents.
Our responsibility is to maintain accurate, timely indexing and maintenance of the documents filed in our office. The staff at the Recorder’s office is committed to providing you with fast and friendly assistance with your recording and searching needs.
The Recorder’s office is the official record keeper for all land records in Richland County. The office processes and maintains all documents transferring land in order to establish legal ownership and protect rights.
RECORDING FEES EFFECTIVE July 1, 2023
Fee to record a Standard Document – $110.00
This is an 8 ½ x 11 with:
- 3 ½ x 5 ½ blank area
- Top of first page for recorder information,
- Grantor + grantee names and addresses
- Legal description
- Original signed and notarized
- Name and address of who prepared document.
If a deed, must also have:
- Name of address of who receives the tax bill
- MyDec or exempt statement
- State revenue stamps $1 per $1000
- County revenue stamps.50 cents per $1000
If a release or assignment, must have:
- Original recording information
Additional pages
over 50 pages – $1.00 per page
over 5 document references (book/pages) – $1.00 each reference
over 10 legal descriptions – $1.00 each additional.
no legal description – $1.00 each reference
over 20 grantor or grantee names – $1.00 each name
Certified copies of Recorded Documents
Minimum – $61.00
* Memorandum of Judgements, Articles of Incorporation, UCCs, governmental
documents, utilities and small estate affidavits are recorded at the rate of $91.
Fee to record a Non-Standard Document – $161.00
This would be an 8.5×14 or 11×17 document
Surveys and Subdivision Plats on larger than 11x 17 – $212.00
Three originals to be provided, we will keep one.
Fees for Vital Record copies
These are certified copies of birth, death and/or marriage certificates.
First copy – $25.00
Additional copies of the same certificate each – $12.00
Marriage License – $60.00
Assumed Name (original filing) – $30.00
Supplemental, change of address – $5.00
Supplemental, withdraw of change of name – $5.00
25% change in ownership requires publication
Delinquent Tax
Tax redemption, Clerks fee – $85.00
Cancellation Fee – $40.00
Tax Deed Signature – $5.00
Photocopies (each page) – $1.00
Genealogy Fees
In-person, copy of vital record – $3.00
By-mail, copy of vital record – $6.00
Genealogy copies dated 1916 and newer – $25.00

What A Deed Needs
If you have sold property and need a deed prepared, we strongly suggest you contact an attorney to have the deed prepared. The deed needs to be worded correctly, and no two transactions are the same.
The County Clerk’s Office is not legally qualified to prepare deeds or advise about wording on a deed. The County Clerk’s Office will not prepare a deed.
We can, however, notarize a deed that has already been prepared and not yet signed.
To RECORD a deed, our office must have a completed deed with the information of:
- Grantor and address
- Grantee and address
- Legal description of real estate
- Signed by grantor
- Notarized
- Name and address of who receives the tax bill
- Name and address of who prepared the deed
The document must be prepared on 8 ½” x 11” paper, with a minimum of ½” margin on all four sides.
The front page of the deed must have a blank area in the upper-right-hand corner of minimum 3” x 5”.
(We prefer the upper 1/3 of the page be left blank).
All deeds must be accompanied by a MyDec form and the amount of transfer tax. If you feel the transaction is exempt from paying this tax, the exempt reason must be stated on the deed, noting the appropriate paragraph exemption.
